    RESPONSIBILITIES: Serves as the Property Manager at Walker Real Estate Rentals with the full range of property management, property accounting, and office management responsibilities. Work has a significant impact on the strategic success of business and ongoing revenue generation.

    Reports to the COO and Business Owner (Johna Walker) and performs functions of Homeowner/Tenant Communication, Maintenance Coordination, Property Walk-through ("Inspection) & Reporting and Leasing Duties. Most work flows to the incumbent as a result of assigned functions and processes. Other work typically results from changes in the internal and external business environments, which require proactive or reactive responses to identify issues, solve problems, make recommendations, take action, etc. The Business Owner provides broad objectives and policy guidance for recurring assignments and, in consultation with the incumbent, brief instructions and time frames for special projects. Duties are accomplished independently as well as collectively with assistance from other team members.

    The incumbent collaborates with and keeps the Business Owner informed and typically elevates only highly complex or highly sensitive issues for assistance in resolution; initiative is expected. The incumbent provides broad objectives and policy guidance for recurring assignments to the Maintenance, Inspection, and Leasing Department Employees, in consultation with the Business Owner, brief instructions and time frames for special projects. The incumbent will also track the progress toward achieving their monthly and quarterly goals, while counseling and/or redirecting if it appears that goals may not be met. The incumbent will inform the Business Owner if it appears that monthly or quarterly goals will not be met at least 15 days prior to the close of the month.

    Work is typically reviewed in terms of quantity, quality, timeliness, customer service, teamwork adherence to guidelines, and other factors, including specific performance management requirements. Special projects are usually reviewed at milestones for effectiveness of project management and, once implemented, for overall impact. The work is primarily sedentary. Incumbents should expect to complete tasks at his/her desk or collaboratively within the office.


    Specific Responsibilities Include but are not limited to:

    1. Build strong, sustainable relationships with existing client contacts and establish new contacts through networking.

    2. Show desire to forge connections, build trust and manage long-term relationships with individuals.

    3. Utilize web-based tools to manage a database of customers and prospects. 

    4. Field inbound customer service calls and return missed calls same business day. 

    5. Educate customers about our property management and tenant placement services when necessary.

    6. Utilize a CRM to manage and contact prospects.

    7. Addresses customer complaints regarding management processes.

    8. Works with prospective clients on the Management Takeover process (gathering necessary contracts, leases, and keys).

    9. Maintains a working knowledge of all documents and agreements. 

    10. Maintain growth initiatives and meet growth targets on a quarterly basis. 

    11. Answer customer questions regarding their account and solve any problems they are having using high-performing customer service skills.

    12. Enforce all lease terms and issue lease violations as needed. 

    13. Perform Rent Collection duties such as contacting customers with delinquent accounts, attempt to establish payment schedules and advise customers of actions for debt repayment.

    14. Perform Data Management duties such as verifying documentation for new property owners and tenants, processing those files, ensuring data is accurate in management software, process payments and security deposits appropriately. 

    15. File evictions on severely delinquent accounts as needed.

    16. Manage an ACH payment system used for rent making payments. 

    17. Enforce utility bill payment requirements as outlined in the lease. 

    18. Assist with HOA Rules and Regulations compliance.

    19. Liaison with FLW JAG Office.

    20. Receives monthly rental payments and records them in management software. 

    21. Prepares bank deposit slips.

    22. Provides customer service via phone and email to property owners by assisting with questions or concerns.

    23. Collects required insurance paperwork from property owners and maintains a database of policy expiration dates.

    24. Meet with all Departmental employees to oversee progress toward monthly and quarterly goals.

  • Property Manager Assistant

    Specific Responsibilities Include but are not limited to:

    1. Assists in managing all aspects of a building’s occupancy and maintenance.
    2. Communicates with tenants regarding property-related issues.
    3. Provide full administrative support, including phone support, typing reports, filing, and distribution of correspondence.
    4. Assist with transitioning of new and terminating property accounts including utility transfer, vendor set-up, tenant introductions, and input of property and lease information.
    5. As directed by Property Manager, inspect building/property exterior, including common areas, to ensure a first-class appearance of all areas and proper operation of equipment, lighting, etc.
    6. Monitor and maintain the property maintenance work order system and assist in preparing monthly reports on the status of tenant work orders.
    7. Assist Property Manager as needed on special projects.
    8. Communicate/correspond with other Property Managers, Landlords/Owners, and related parties as directed.
    9. Handle miscellaneous assignments as requested by management.
    10. Review, prepare invoices for property manager’s approval.
    11. Assist with setting up tenant billing with Property Manager.
    12. Assist with daily, weekly, monthly management reports as well as annual budget preparation.
    13. Provide high-quality customer service.
